1. Who We Are

Pawdex is a pet health tracking application operated by Pawdex Ltd, a company registered in England and Wales (company number 17122439), with its registered address at 124 City Road, London, EC1V 2NX.

Pawdex Ltd is the data controller responsible for your personal data.

Pawdex Ltd is registered with the Information Commissioner's Office (ICO) under registration number ZC112892.

2. What Data We Collect

We collect the following information when you use Pawdex:

Account information

  • Name and email address
  • Password (encrypted, never stored in plain text)

Waitlist information

If you join our waitlist before launch, we collect your first name, email address, optionally the species of your pet, and the date you gave consent to hear from us.

Pet profile information

  • Pet name, species, breed, date of birth, weight, sex and neutered status
  • Microchip number
  • Known health conditions and current medications
  • Vet name and clinic details

Health log data

  • Health events you log manually or via photo check-in
  • Photos you upload for AI analysis
  • Notes and observations you add

Financial data

  • Expense logs and invoice uploads
  • Payment information (processed securely by Stripe - we do not store card details)

Usage data

  • App usage patterns and feature interactions
  • Device type and operating system
  • Push notification preferences

Location data

  • Precise device location is collected only if you opt in to the weather or nearest-vet widgets. When you do, your coordinates are rounded to approximately 1km and stored on your profile, are used only to power those widgets, and can be turned off at any time.

Third-party contact details

  • Names and phone numbers of people you choose to add, such as an emergency contact, your vet, or a co-carer.

By adding these details, you confirm you have that person's permission to share their information with Pawdex for this purpose. If you are one of these contacts and want your details removed, email privacy@pawdex.ai (or ask the account holder to remove you in the app) and we will delete them.

Audio recordings

  • For certain symptom types you can optionally record a short audio clip of your pet, up to 60 seconds. Recordings are stored privately and are only accessible to you and anyone you share that pet with. They are not sent to any AI or transcription service. A recording may capture background voices of people nearby. You can delete a recording at any time by deleting the log it belongs to.

3. How We Use Your Data

We use your data to:

  • Provide and improve the Pawdex service
  • Power AI health analysis and insights for your pet
  • Send you push notifications and health reminders (only if you opt in)
  • Process payments for premium features
  • Detect and prevent abuse of our services
  • Comply with legal obligations
  • Email you about the Pawdex launch, if you joined our waitlist and agreed to hear from us. Every email includes an unsubscribe link.

We do not use your data for advertising. We do not sell your data to third parties. Ever.

4. Who We Share Your Data With

We share data only with the following trusted third party services that are necessary to operate Pawdex:

  • Supabase - database and authentication infrastructure
  • Google Gemini - AI analysis of photos, notes and documents is processed through Pawdex-controlled Google Gemini API credentials. Uploaded content is sent to Gemini only when needed to provide the requested AI feature and is handled under the Google Cloud data processing terms accepted by Pawdex.
  • Stripe - payment processing
  • OneSignal - push notification delivery
  • Resend - email delivery (account, security, subscription and co-owner invitation emails, and launch updates to waitlist members who agreed to receive them)
  • Cloudflare - domain routing and security
  • Sentry (Functional Software, Inc.) - error monitoring, so we can find and fix faults. Only error reports are sent: the error message and the technical stack trace, the app build version, and a pseudonymous account identifier so we can tell whether one person hit the same fault repeatedly. Your email address, your username and your IP address are removed before the report is sent. We do not record your screen or your browsing, and we do not send performance tracking data. Reports are processed in Sentry's European Union data region. Sentry is a US company; any transfer outside the UK and EU is covered by the standard contractual clauses (including the UK addendum) in its data processing agreement.

We do not share your data with any other third parties, advertisers or data brokers.

5. How Long We Keep Your Data

We retain your data for as long as your account is active. When you delete your account, your personal data and pet health records are permanently deleted from our active systems within 30 days, and copies in encrypted backups are purged on a rolling cycle shortly afterwards. If you joined our waitlist and have not created an account, we delete your waitlist details 6 months after Pawdex launches, or sooner if you unsubscribe or ask us to.

Some records must be kept for longer where the law requires it. In particular, financial and accounting records (such as invoices, expense records and payment transaction records) are retained for up to 6 years after the transaction to meet UK tax and accounting obligations (HMRC). These records are held in isolation, are not used for any other purpose, and are securely deleted once the legally required period has passed.

You can request deletion of your account at any time via Settings → Delete Account, or by emailing privacy@pawdex.ai. See our Delete Account page for full details of what is removed and what we are required to keep.

6. Your Rights (All Users)

Regardless of where you are located, you have the right to:

  • Access - request a copy of the data we hold about you
  • Correction - ask us to correct inaccurate data
  • Deletion - request that we delete your account and all associated data
  • Portability - request your data in a machine-readable format (CSV export is available in the app)
  • Objection - object to how we process your data

To exercise any of these rights, contact us at privacy@pawdex.ai or use the account settings within the app.

7. Your Rights (UK and EEA Users - UK GDPR)

If you are based in the United Kingdom or European Economic Area, we process your data under the UK General Data Protection Regulation (UK GDPR).

Our lawful basis for processing your data is:

  • Contract - processing necessary to provide the Pawdex service you signed up for
  • Legitimate interests - improving the app, preventing abuse, ensuring security
  • Consent - for push notifications, optional features, and launch emails to waitlist members

You have the right to lodge a complaint with the Information Commissioner's Office (ICO) at ico.org.uk if you believe we have handled your data unlawfully.

8. Your Rights (California Users - CCPA)

If you are a California resident, you have the following additional rights under the California Consumer Privacy Act (CCPA):

  • Right to know - you can request details of the personal information we have collected about you, the categories of sources, the purposes for which it is used, and the categories of third parties we share it with
  • Right to delete - you can request that we delete your personal information. You can do this directly in the app via Settings → Delete Account
  • Right to opt out of sale - we do not sell your personal information to any third party. There is nothing to opt out of, but we confirm this explicitly as required by California law
  • Right to non-discrimination - we will never treat you differently or provide a lesser service because you exercised your privacy rights

9. Age Requirement

Pawdex is intended for adults aged 18 and over. It is not intended for, and must not be used by, anyone under the age of 18. We do not knowingly collect personal data from anyone under 18. If you believe someone under 18 has provided us with personal information, please contact us at privacy@pawdex.ai and we will delete it promptly.

10. Data Security

We take the security of your data seriously. We use:

  • Encrypted connections (HTTPS) throughout the app
  • Supabase row level security to ensure users can only access their own data
  • Encrypted password storage
  • Rate limiting on AI endpoints to prevent abuse

No system is completely secure. If you believe your account has been compromised, contact us immediately at privacy@pawdex.ai.

11. Cookies

Pawdex uses minimal cookies necessary to keep you logged in and maintain your session. We do not use advertising cookies or third party tracking cookies.

12. Changes to This Policy

We may update this policy from time to time. If we make significant changes we will notify you via the app or by email. The date at the top of this page always reflects when it was last updated.
